Position Overview

We are looking for an experienced Director of Operations to organize and oversee the daily operations of our company. You will be the one to ensure that our business is well-coordinated and productive by analyzing, managing, and improving its processes, and will be responsible for the overall efficiency of the business.

The Director of Operations will oversee day-to-day operations and supervise a team of 10+ people. You will report directly to the CEO, and be responsible for a variety of client specific and company wide projects, including directing work flow, overseeing managers, coordinating external projects with our partners, and furthering business development initiatives.

You must be an excellent communicator and excel at delegating tasks. The ideal candidate is a proven leader who can play a major role in moving the business forward. The position is ever-evolving and requires strict attention to detail and creative problem solving — these characteristics must be part of your draw to the position.

You should be prepared to develop strategic plans by studying technological and financial opportunities, presenting assumptions, and recommending objectives.

Our Director of Operations must speak the languages of finance, operations, sales, marketing, human resources, and technology.

Position Requirements/Details:

The area of responsibility for this role is wide and thus requires thorough knowledge of various company processes. The ideal candidate must be competent and able to plan many different kinds of operational activities. You must be an excellent leader who can discover the most efficient ways to run the business.

  • Bachelor’s Degree in Business Administration or related field (MBA preferred)
  • 7+ years’ experience in a leadership role
  • Excellent organizational and leadership abilities
  • Outstanding communication and people skills
  • Working knowledge of data analysis and performance/operation metrics
  • Familiarity with MS Office and various business software (e.g. CRM)
  • Negotiation and mediation: find opportunities to resolve conflicts efficiently and favorably
  • Interest in growing the company by recruiting, interviewing, hiring, and mentoring new talent
  • Define and implement policies and performance standards. Establish policies that promote company culture
    and vision
  • Prioritizes effectively and efficiently and always be searching for ways to become more efficient
  • Up to date with current marketing, advertising and lifestyle trends
  • Hands-on experience working with a diverse set of clients at varying levels (developing brands and clients
    vs established brands and clients in various fields)
  • Skilled in the art of delegation and follow through
  • Have the desire to learn and stay learning
  • Design and implement business strategies, plans and procedures
  • Set comprehensive goals for performance and growth
  • Evaluate performance by analyzing and interpreting data and metrics
  • Write and submit reports to the CEO in all matters of importance
  • Experience with fundraising ventures
  • Manage relationships with partners/vendors
  • Proven experience as Director of Operations or relevant role

Executive Assistant

Position Overview

The Executive Assistant (“EA”) position directly supports the CEO, ranging in scope from the oversight of the most micro detail to a big picture understanding of long term business goals. The ideal candidate is a creative problem solver who won’t take no for an answer, that can anticipate company needs, and is an ambitious self-starter who isn’t afraid to ask questions.

The EA will perform duties that can have an effect on the success the business, such as helping with marketing research, training staff, and scheduling important meetings. Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy as well as a practical knowledge of the practices and procedures of the function, general company policies, and programs.

The EA is responsible for supporting senior-level tasks and communications while optimizing time, efficiency, and focus. The EA must have the ability to organize a busy calendar, draft internal communications, and manage other projects, as assigned. You must be detail-oriented, resourceful, and able to manage multiple projects simultaneously; all while maintaining a professional, confidential, and positive attitude.

Position Requirements/Details:

  • 3+ years in a full-time position assisting a C-level executive, utilizing the skills referenced above
  • Excellent written, verbal and interpersonal communication skills
  • Extremely detail and follow-through oriented. This cannot be overstated
  • A track record of supporting multiple projects at once with tight deadlines
  • Personal initiative and a proactive, problem-solving mindset
  • A genuine interest in this position and furthering the diverse goals of our clients
  • Experience working with social media and/or graphic design software is a plus
  • Solid experience with office management systems, CRM’s, project management software, and MS Office
  • Familiarity with online calendars and cloud systems
  • Experience using office equipment, including printers and fax machines
  • Experience exercising discretion and confidentiality with sensitive company information

Responsibilities

  • Coordinate daily calendars of senior managers
  • Plan appointments and events
  • Act as the point of contact between executives and employees
  • Create regular reports and update internal databases
  • Make travel arrangements
  • Manage phone calls and emails
  • Respond promptly to managers’ queries
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Suggest more efficient ways to run the office and troubleshoot malfunctions
  • Review and recommend changes to our company policies
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing
    inquiries
  • Maintain client confidence and protect operations by keeping information strictly confidential
  • Provide historical reference by developing and utilizing data filing and retrieval systems
  • Maintain office supply inventory by checking stock to determine inventory level; anticipate needed supplies;
    evaluate new office products; place orders
  • Ensure operation of equipment by completing preventive maintenance requirements; follow manufacturer’s
    instructions; troubleshoot malfunctions; call for repairs; evaluate new equipment and techniques.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional
    publications; establishing personal networks; participating in professional societies

Staff Accountant (Full or Part-Time)

Position Overview

The staff accountant position will handle Constant’s bookkeeping, payroll, financial analysis, and basic HR functions.

The staff accountant will report directly to the CEO, and be responsible for a variety of client specific and big picture company related projects, including data analysis (financial and otherwise), furthering business development initiatives, establishing, monitoring and enforcing policies and procedures.

The ideal candidate is a self-starter who thrives on autonomy, and never stops learning or trying to improve. The position requires strict attention to detail and an airtight appreciation for confidentiality — these characteristics must be part of your draw to the position.

To Be Considered, You Must:

Be fully committed to being an enthusiastic, active member of an extremely busy team in an exciting period of the company’s growth. Interest in, and a strong understanding of, current and emerging technological tools related to analysis, projections, income tracking, and the like are essential.

Position Requirements/Details:

  • 3+ years experience with, and expert level understanding of, Quickbooks Online
  • Experience with Expensify, MS Office
  • Bachelor’s Degree in Accounting and/or Finance preferred
  • Hands-on experience working with a diverse set of clients at various income levels
  • Genuine enthusiasm and interest in data analysis / projections
  • Quarterly budgeting / forecasting; balance and P&L reports
  • General ledger and bank account reconciliations, A/R and A/P, invoicing
  • Payroll
  • Strong written and oral communication skills
  • Strong organizational and analytical skills
  • Maintain and balance an automated consolidation system by inputting data; scheduling required jobs;
    verifying data
  • Develop and implement accounting procedures by analyzing current procedures; recommending changes. A
    healthy curiosity and passion for growth: you must be naturally inclined towards re-tooling processes and
    systems to make them more efficient
  • Basic HR functions
  • Clear communication with our clients’ financial representatives
  • Ability to prioritize effectively
  • Have a desire to learn and stay learning
